Privacy Policy

Last Updated: October 15, 2026
Effective Date: October 15, 2026

At LeadMondo, protecting information, respecting individual privacy, and maintaining responsible data practices are fundamental to how we operate.

LeadMondo (https://leadmondo.com) is a global B2B data intelligence and customized data research service operated by Hir Infotech Pvt. Ltd., India (“LeadMondo,” “Company,” “we,” “our,” or “us”).

We provide business contact databases, company information, decision-maker intelligence, data enrichment, lead generation data, and specialized research services. We also undertake separately authorized healthcare and patient-data processing projects under appropriate contractual and legal safeguards.

We recognize that business contact information and patient health information require different levels of protection. We handle these categories separately and apply safeguards appropriate to the nature, sensitivity, and legal requirements of the information involved.

This Privacy Policy explains what information we collect, how we use it, where it comes from, when it may be disclosed, how long it is retained, and the rights available to individuals.

1. Scope of This Privacy Policy

This Privacy Policy applies to information processed in connection with:

  • Our website, https://leadmondo.com.

  • Customer inquiries, accounts, purchases, and payments.

  • B2B company and professional contact databases.

  • Customized prospect research, data verification, and enrichment.

  • Healthcare professional and healthcare organization databases.

  • Separately contracted patient health-data processing projects.

  • Customer service and business communications.

  • Website analytics, cookies, and security technologies.

  • Individual privacy, correction, objection, and deletion requests.

For our own commercial data products, customer relationships, and website operations, LeadMondo generally determines the purposes and means of processing and may act as a data controller or equivalent responsible organization.

For customer-supplied information processed exclusively under a customer’s documented instructions, we may act as a data processor, service provider, or, where applicable, a HIPAA business associate or subcontractor.

Such processing may be governed by additional Data Processing Agreements (DPAs), Business Associate Agreements (BAAs), Data Use Agreements (DUAs), or other legally required agreements.

Where a separate agreement imposes stricter privacy or security requirements, those requirements apply to the relevant project.

2. Categories of Information We Collect

The information we process depends on the nature of our relationship with you and the services involved.

  • Dentists and other licensed healthcare professionals.

  • Clinics and medical practices.

  • Hospitals and healthcare organizations.

Such datasets may contain professional identifiers, including National Provider Identifier (NPI) numbers where applicable, professional contact information, practice addresses, organizational affiliations, specialties, and publicly available professional details.

These commercial healthcare-professional datasets are separate from patient medical records and protected patient health information.

2.4 Patient Health Information — Authorized Projects Only

For separately authorized projects, we may process patient-related information supplied or otherwise made available through an approved and lawful arrangement.

Depending on the project, this information may include:

  • Patient identifiers and contact information.

  • Prescription, procedure, or laboratory information.

  • Healthcare service and administrative records.

  • Clinical research or study-related information.

  • De-identified, pseudonymized, or limited healthcare datasets.

  • Other health-related information specifically permitted under the applicable project agreement and law.

We do not collect all these categories for every project. The permitted data categories and purposes must be established before processing begins.

Patient health information is handled as restricted project information and is not included in ordinary commercial B2B lead databases.

2.5 Website and Technical Information

When visitors use our website, we and authorized service providers may collect:

  • IP addresses.

3. How We Obtain Information

Depending on the service and applicable law, information may be obtained from:

Direct submissions: Website forms, purchases, inquiries, customer communications, and other information provided directly to us.

Publicly accessible business sources: Company websites, business directories, professional profiles, corporate announcements, official business registries, government databases, and other legally accessible sources.

Third-party providers: Business information vendors, data research partners, data enrichment providers, and other authorized sources.

Independent research: Information compiled, enriched, validated, and updated through research tools, automated methods, and human verification.

Customer-provided information: Information supplied by customers for authorized research, verification, enrichment, database management, or processing services.

Authorized healthcare sources: Information provided by healthcare organizations, healthcare technology providers, research organizations, or other authorized parties under appropriate legal and contractual arrangements.

We assess relevant legal conditions and data-use restrictions when obtaining information.

The fact that information is publicly accessible does not automatically mean that its collection, use, or commercial disclosure is unrestricted.

Where required, we provide appropriate privacy information to individuals whose data is obtained indirectly, including relevant categories, sources, purposes, recipients, and available rights.

4. Purposes for Which We Process Information

We process information for purposes that may include:

  • Delivering B2B contact databases and company information.

  • Researching and identifying relevant business prospects.

  • Preparing customized industry-specific or geographic datasets.

  • Verifying and enriching professional contact information.

  • Performing customer-requested data cleansing and validation.

  • Managing orders, billing, and payments.

  • Providing technical support and customer communications.

  • Operating and improving website functionality.

  • Detecting fraud and preventing unauthorized access.

  • Maintaining data quality and suppression records.

  • Handling privacy requests and legal obligations.

  • Performing authorized healthcare data services.

  • Carrying out separately approved clinical, healthcare research, analytical, or administrative projects.

  • Maintaining appropriate audit, accountability, and security records.

Patient health information is processed only for the purposes authorized by the applicable agreement and legal framework.

We do not use patient health information obtained through restricted healthcare projects to build unrelated commercial lead lists, conduct general marketing, or enrich our independent B2B prospect databases.

5. Legal Bases for Processing

Where the EU General Data Protection Regulation (GDPR), UK GDPR, or similar laws apply, we rely on an appropriate legal basis for each relevant processing activity.

Depending on the circumstances, this may include:

Contractual necessity: To fulfill service agreements, process orders, and manage customer relationships.

Legitimate interests: For certain lawful business research, data accuracy, fraud prevention, B2B information services, or related business purposes, where the processing is necessary and the interests and rights of individuals do not override those interests.

Consent: Where consent is required for a particular activity, including certain electronic marketing, website tracking, or sensitive-data processing.

Legal obligations: To comply with applicable regulatory, accounting, tax, privacy, or other legal requirements.

Other authorized legal grounds: Where a specific law permits processing for healthcare operations, research, public interest, legal claims, or another recognized purpose.

For personal health information subject to GDPR Article 9, an appropriate Article 6 legal basis and a separate valid Article 9 condition must both be established.

Explicit consent may be required in certain circumstances, but consent is not the only possible lawful condition and may not be sufficient where another legal restriction applies.

We do not treat customer instructions or commercial interest alone as legal authorization for sensitive-data processing.

6. B2B Data Products and Commercial Disclosures

LeadMondo provides business information and professional contact databases to organizations for legitimate commercial activities such as:

  • B2B sales prospecting.

  • Market research.

  • Business development.

  • Account-based marketing.

  • Professional outreach.

  • Industry and company research.

  • Other lawful business intelligence purposes.

These products may contain personal information relating to identifiable business professionals.

LeadMondo may sell or otherwise commercially disclose qualifying professional contact information to business customers where permitted by applicable law.

We recognize that such transactions may constitute sales of personal information under certain privacy laws, including applicable U.S. state legislation.

We do not represent that professional contact information is automatically exempt from privacy laws.

Customers must independently ensure that their intended use of the data is lawful.

Purchasing a LeadMondo database does not automatically establish consent to send marketing emails, place telephone calls, send SMS messages, or conduct other communications.

We may restrict data delivery, require additional information, or decline orders that present unacceptable legal, privacy, or security risks.

7. Healthcare Professional Databases

LeadMondo offers customized business contact databases covering healthcare organizations and professionals.

These services may include doctors’ professional email addresses, practice telephone numbers, medical specialties, NPI numbers, hospital affiliations, business locations, and healthcare decision-maker details.

Such information is supplied for lawful professional, commercial, operational, or research purposes.

Our healthcare-professional databases are not intended to contain identifiable patient medical histories, patient diagnoses, treatment records, or other patient health information requiring separate authorization.

We distinguish professional business information from patient-related sensitive information and apply the relevant legal requirements to each category.

8. Patient Health-Data Processing and HIPAA

LeadMondo may undertake separately authorized projects involving patient health information.

These services are not part of our standard B2B contact database products and are governed by project-specific authorization, contractual controls, and applicable privacy and security requirements.

8.1 HIPAA Applicability

Where a project involves Protected Health Information (PHI) subject to the U.S. Health Insurance Portability and Accountability Act (HIPAA), the HIPAA Privacy Rule, Security Rule, Breach Notification Rule, and applicable HITECH Act provisions may govern the processing.

Where LeadMondo acts as a business associate or subcontractor, we require an appropriate Business Associate Agreement before receiving or processing PHI in that capacity.

A BAA must define the authorized purposes, permitted disclosures, security requirements, incident reporting, subcontractor obligations, and return or destruction arrangements.

Other healthcare research arrangements may require a HIPAA authorization, waiver, Data Use Agreement, or another legally recognized mechanism, depending on the nature of the activity.

A BAA alone does not authorize otherwise prohibited processing or disclosure of PHI.

8.2 Restrictions on Patient Health Information

For restricted healthcare projects:

  • Patient information is processed only for specifically approved purposes.

  • Access is limited to personnel with a legitimate project requirement.

  • Relevant confidentiality and security requirements apply.

  • Patient information is not incorporated into our general B2B databases.

  • PHI is not sold through LeadMondo’s ordinary commercial contact-list products.

  • Information is not reused for unrelated advertising, prospecting, or independent commercial marketing.

  • Subcontractor access requires applicable authorization, contractual restrictions, and safeguards.

  • Information is returned, deleted, or otherwise managed according to applicable law and the governing project agreement.

We do not accept a customer’s request as sufficient authorization to disclose or commercialize patient medical records.

8.3 Sensitive Health Information Under Other Laws

Some healthcare data is regulated even when HIPAA does not apply.

Where relevant, projects may also be subject to:

  • GDPR and UK GDPR protections for health information.

  • Applicable U.S. state consumer health privacy laws.

  • Canadian federal or provincial health information laws.

  • Australian health privacy requirements.

  • India’s applicable personal data protection and healthcare information requirements.

  • Brazil’s LGPD.

  • Other country-specific medical confidentiality or personal information laws.

We assess the legal requirements applicable to the relevant project, source, destination, and processing purpose.

8.4 Specially Protected Records

Certain information, including substance use disorder treatment records, mental health records, genetic information, reproductive health information, or children’s health information, may be subject to additional legal restrictions.

Where applicable, we require additional authorization, contractual controls, and safeguards before undertaking such processing.

Projects involving U.S. substance use disorder records may be subject to 42 CFR Part 2.

8.5 Data Minimization and De-Identification

Healthcare projects are limited to information reasonably necessary for their authorized purposes, consistent with applicable legal requirements.

Where appropriate, information may be de-identified, aggregated, or pseudonymized.

De-identification does not automatically permit unrestricted use. The applicable legal standard, contractual restrictions, and re-identification risks must be considered.

We do not attempt to re-identify properly de-identified patient information unless expressly authorized and legally permitted.

8.6 Healthcare Project Transfers

Sensitive patient information should be exchanged only through an approved, appropriately secured transfer method.

Customers should not submit patient medical records or PHI through general website inquiry forms, public checkout fields, or ordinary business support communications.

Specific submission, storage, access, transfer, and deletion requirements will be provided through the applicable healthcare project agreement.

8.7 Patient Privacy Requests

When LeadMondo processes patient data on behalf of a healthcare customer, the customer or relevant healthcare organization may be responsible for responding to certain individual rights requests.

We assist the responsible organization as required by the applicable agreement and law.

Individuals may also contact privacy@leadmondo.com, and we will direct or handle the request according to our legal responsibilities and contractual role.

9. When Information Is Shared

Depending on the information involved and the applicable legal restrictions, LeadMondo may share information with:

Business Customers: Qualifying professional contact records and company information purchased through our commercial services.

Authorized Healthcare Customers: Patient-related information processed or returned strictly within the scope of authorized projects.

Service Providers: Approved infrastructure, cloud hosting, technical, security, data processing, and related vendors supporting our operations.

Payment Providers: PayPal and relevant payment infrastructure providers.

Analytics and Security Providers: Google Analytics, Google reCAPTCHA, and other technologies used to measure or protect website operations.

Professional Advisers: Legal, accounting, compliance, or auditing professionals where necessary.

Regulatory or Legal Authorities: Where disclosure is required or permitted by applicable law.

Business Successors: In connection with a legitimate merger, acquisition, restructuring, or transfer, subject to applicable confidentiality and privacy obligations.

Access to restricted healthcare information is limited to recipients authorized by the relevant project agreements and law.

We do not make patient health information available to ordinary B2B data customers.

10. Data Security and Confidentiality

LeadMondo maintains secured cloud storage and internal on-premises systems with restricted staff access.

Our security approach includes administrative, organizational, and technical controls appropriate to the nature and sensitivity of the information processed.

These include, as applicable:

  • Role-based access permissions.

  • Restricted employee and project-level access.

  • Authentication and access management.

  • Secure network and infrastructure administration.

  • Confidentiality obligations for authorized personnel.

  • Secure data transmission and storage controls.

  • Security monitoring and incident response.

  • Controlled retention, deletion, and information disposal.

  • Appropriate backup and recovery arrangements.

  • Security reviews and risk-based protective measures.

For projects involving electronic PHI, the relevant administrative, physical, and technical safeguards required under the HIPAA Security Rule must be implemented before such processing takes place.

These may include risk analysis, access control, audit controls, transmission security, workforce procedures, and other measures required by the applicable legal and contractual framework.

No electronic storage or communication system can guarantee absolute security. We nevertheless take information protection seriously and maintain processes for identifying, assessing, and responding to security incidents.

11. Data Retention and Deletion

We retain information according to its purpose, sensitivity, contractual requirements, and applicable law.

11.1 Standard Customer Project Files

For ordinary B2B research and data delivery projects, temporary working files, research exports, and operational delivery copies are generally retained for up to 45 calendar days following order completion.

After this period, such files are deleted or securely disposed of from active operational storage unless an applicable legal obligation or agreed exception requires otherwise.

11.2 Patient Health-Data Projects

Patient health information is subject to a separate retention schedule determined by the project agreement, relevant privacy laws, and applicable healthcare record requirements.

The standard 45-day B2B project retention period does not automatically apply to patient health information.

Depending on the project, sensitive data may need to be deleted, returned, or retained under restricted conditions for a shorter or longer period.

Where a HIPAA BAA applies, the handling of PHI at contract termination is governed by the BAA and applicable law, including return or destruction where feasible and continued protections where retention is legally or contractually necessary.

11.3 Customer and Financial Records

Transaction details, invoices, accounting records, order history, and related business correspondence may be retained for the applicable contractual, accounting, tax, dispute-resolution, and legal periods.

11.4 Business Contact Records

Independently maintained business databases may be updated, verified, restricted, or removed in accordance with our data retention practices and applicable privacy rights.

The temporary 45-day project-file retention period does not automatically determine the retention period of separately maintained business databases.

11.5 Privacy Suppression Records

We may retain limited suppression identifiers and privacy-request records where necessary to honor objections, prevent prohibited re-collection or resale, and demonstrate compliance.

11.6 Backups

Data may remain temporarily in restricted backups until deleted under applicable backup retention and disposal procedures.

Where legally required, we take appropriate steps to ensure deletion or correction obligations are reflected in relevant systems and recipients.

12. Website Payments, Cookies, and Analytics

12.1 PayPal

LeadMondo uses PayPal to facilitate online payments.

PayPal may collect and process payment information necessary to complete transactions.

We may receive payment confirmations, transaction identifiers, payer details, billing information, and order amounts.

Where required by law, non-essential technologies are activated only after valid consent.

Disabling some cookies may affect website functionality.

13. International Data Processing and Transfers

LeadMondo operates from India and provides services to customers internationally.

Information may be processed, stored, accessed, or transferred across national borders in connection with our operations, infrastructure, and customer services.

Where applicable law restricts international transfers, we use legally permitted transfer arrangements and appropriate safeguards.

Depending on the jurisdiction and circumstances, these may include recognized contractual clauses, data protection agreements, transfer assessments, technical protections, and other approved mechanisms.

Healthcare information may be subject to additional cross-border confidentiality, transfer, or localization requirements.

Restricted healthcare project transfers require the necessary legal authorization and applicable contractual safeguards before processing begins.

We may decline projects or restrict international transfers when appropriate conditions cannot be satisfied.

14. Your Privacy Rights

Depending on your jurisdiction and the nature of our processing, you may have rights to:

  • Request access to personal information.

16.8 Other Countries and Regions

LeadMondo serves customers across international markets.

We assess relevant national, regional, and sector-specific privacy requirements based on the data, location, purpose, and parties involved.

Availability of a service in a particular country does not mean that every type of personal information may lawfully be collected, processed, transferred, or sold there.

We may restrict or decline projects where legal requirements cannot be met.

17. Security Incidents and Data Breaches

LeadMondo maintains procedures for identifying, investigating, documenting, and responding to suspected or confirmed security incidents.

We do not knowingly collect or sell children’s personal information as part of ordinary commercial lead-list products in violation of applicable law.

Such projects require applicable legal authority, contractual controls, confidentiality safeguards, and age-specific privacy protections.
